A Real 3-Day Indian Wedding in Baku: 250 Guests Across Four Seasons, Fairmont and Bilgah

Birtour is a Baku-based DMC that produces Indian weddings across Azerbaijan's 5-star properties. This is one we ran in 2025 for a Mumbai family: 250 guests, 3 days, three venues, pure-vegetarian and Jain catering throughout, a pandit flown in for the ceremony, and a mandap built to the Four Seasons Segah Ballroom. Details are anonymised at the family's request; everything below is what we actually delivered.

Why does Baku hold a 250-guest Indian wedding?

Because two 5-star hotels twelve minutes apart absorb the room block between them, and because the ritual lines that usually break abroad get planned in a written manifest here rather than negotiated on the morning. Pure-vegetarian and Jain catering, the fire arrangement for the saptapadi, and a mandap fabricated to a specific ballroom are all lead-time items, not day-of items.

• The room block splits, so no single hotel is load-bearing. Four Seasons Baku at 171 rooms and Fairmont Flame Towers at 299 rooms plus 19 serviced apartments hold 250 guests between them without either property running at the edge of its inventory.
• The dietary matrix is a document. Pure-vegetarian, Jain no-onion no-garlic, and halal for the mixed guest list sit on one written manifest signed off before anyone lands.
• The ritual lines carry their own lead time. The pandit flies in, the mandap is fabricated locally to the room it will stand in, and the fire arrangement clears with the property and the fire marshal weeks ahead.

The shape of the program

Three days, two anchor hotels for the room block, and a Caspian-beach closing. We split the 250-guest block mainly across Four Seasons Baku and Fairmont Baku Flame Towers, which is how Baku houses a wedding this size without straining a single property. The main ceremony ran at Four Seasons, the mehndi and sangeet at Fairmont with the Flame Towers skyline behind the stage, and the closing reception moved out to Jumeirah Bilgah Beach on the Caspian.

Day one: arrivals, welcome dinner, mehndi

Day one is an arrivals day with a function bolted to the end of it. Guests landed across a two-day window into Heydar Aliyev International Airport, about 25 kilometres and a 30 to 40-minute transfer from the city hotels. We ran staggered transfer waves against the inbound flight manifest rather than one coach crush.

The welcome dinner used the Four Seasons garden terrace off the Segah Ballroom. The mehndi ran the same evening at Fairmont, henna artists brought in, the room dressed in marigold and mango tones, our Indian-cuisine kitchen partner running a pure-vegetarian menu with a live chaat station.

Day two: haldi and the sangeet

Day two is the production evening. Haldi runs in the morning, informal and poolside, and the sangeet that night is the night the room has to work hardest: a raised stage in the Fairmont ballroom, sound and lighting specced well above a corporate-event brief, choreographed family performances, and a DJ set that ran late.

We keep sangeet sound at roughly one and a half times the spec of a corporate gala, because the room has to carry 250 people dancing, not 250 people seated.

Day three: the main ceremony and closing

Day three carries the mandap and the saptapadi. The mandap was built to the Segah Ballroom at Four Seasons by our local fabrication partner, sized so the mandap, the seating and the aisle sightlined cleanly, with the fire arrangement cleared with the property and the fire marshal ahead of the day.

The pandit, flown in from India, ran the ceremony; Azerbaijan has only around 500 resident Hindus, so a priest is a logistics line we plan weeks out, not a local booking. The baraat processed on the hotel forecourt with a dhol before the ceremony. The closing reception moved to Jumeirah Bilgah Beach that evening, pool-side and open to the Caspian, with a covered fallback held in reserve for wind.

How do 250 Indian guests actually get to Baku in 2026?

Thinner than the market assumes, and it changes how you stage arrivals. Through September 2026 the entire India-to-Baku nonstop market is Azerbaijan Airlines: one daily from Delhi at 4h40 block time and one daily from Mumbai at 5h20, both narrowbody. A 250-guest block therefore arrives across several days, or routes through Dubai.

Three things changed on this route since we ran the wedding. IndiGo pulled Delhi to Baku over Iranian-airspace risk, with suspensions rolling from 28 February to 28 March 2026, because the A320neo does not have the range to detour Iranian airspace without a technical stop. Schedule data now shows an October 2026 restart, but IndiGo has published nothing confirming it, so we plan the block as though it is not there. Air India put its code on AZAL's Delhi and Mumbai services from 29 July 2026, which means guests can now buy Baku on a single Air India ticket including through-connections from other Indian cities; that did not exist in 2025 and it is the most useful change of the three. And Azerbaijan's land borders remain closed to inbound passenger traffic, currently to 1 October 2026, so nobody drives in from Tbilisi.

On visas, an Indian passport needs the ASAN e-visa: a USD 20 state fee plus a USD 9 processing fee, issued within 3 working days as standard or 3 hours on the urgent track, single entry, valid 90 days, permitting a stay of 30. Passports need at least 3 months validity beyond the visa's expiry. The line that matters for a wedding is the group facility, which takes 2 to 10 people as a family application and 10 to 300 as a group, so a guest list of this size files in batches rather than 250 separate scrambles. Indian nationals holding a UAE residence visa with at least six months left on it can take the visa on arrival instead. Any guest staying more than 15 days must be registered with the State Migration Service, which the hotel files free of charge. The full workflow is in our guest visa and flights guide.

What the room-block math looked like

For 250 guests we held roughly 150 to 170 keys across the two anchor properties for the core nights, plus the couple's and immediate family's suites, with a released-rooms cut-off set at 90 percent of confirmed RSVPs. Two anchors rather than one gave us redundancy: when a block of guests shifted their arrival, we absorbed it across properties without renegotiating a single hotel's contract at the last minute.

The budget band

A 250-guest, 3-day Indian wedding in Baku runs roughly USD 450,000 to 880,000 all-in, before international guest flights. This program landed in the mid-to-upper part of that band. It used a two-anchor rotation and a Caspian-beach closing, both of which sit above a single-venue program on cost, and both of which the photographs justified. What has changed since we ran this wedding

One venue and one route. Jumeirah Bilgah Beach Hotel, where this program closed, is shut for a full renovation, and the hotel's own site states it reopens in summer 2027. Separately, the India to Baku air market thinned to a single carrier. Neither changes the shape of a 250-guest program; both change what we are willing to quote.

• The Caspian-front closing needs a different home until 2027. Bilgah was the largest dedicated beachfront ballroom on the Absheron coast and nothing branded has replaced it, which pushes volume back toward the city 5-stars. We now quote the closing at Sea Breeze on the Nardaran stretch of the coast, or move it indoors-with-view at JW Marriott Absheron Baku, which publishes 1,957 sqm across 13 event rooms with a largest space of 1,000. Any 2026 or 2027 proposal that still shows Bilgah is selling a property that cannot be contracted.
• No new 5-star wedding venue has opened in Baku or on the Absheron peninsula in 2025 or 2026. We went looking and found nothing confirmed. The Ritz-Carlton Baku and JW Marriott Absheron are both pre-existing properties being marketed harder, which is a different thing. If a competing proposal names a new Baku wedding venue, ask which year it opened.
• March is not a shoulder month for outdoor functions. It is the windiest month of the Baku calendar at a 21.6 kph mean, ahead of every winter month. We hold outdoor bookings closed through the end of March and open them in April.

What we would flag to the next family

Two anchors is the right call above about 200 guests, but it adds an inter-hotel transfer layer you staff for. Book the outdoor closing with a covered fallback every time; we did, and while the wind held that night, we have moved a function indoors on the morning of before. And fly the pandit and confirm the Jain and vegetarian manifest early; those two lines, not the venue, set the bottom of the planning timeline.
