Ask for the seated plan with every production element marked. The published room maximum is not the same as the final number after a stage, band, dance floor, ceremony structure and service route are added. If the terrace is part of the programme, contract the indoor fallback at the same time.

Fairmont Baku: Flame Towers identity

Fairmont Baku, Flame Towers gives a wedding the most recognisable Baku skyline address. Its official wedding page currently describes a Nizami Ganjavi Grand Ballroom ceremony and dinner package for up to 350 guests. Treat 350 as the hotel's published package maximum, then request the plan for your stage, dance floor and table format.

Request the room by name and ask the hotel to attach the current capacity chart. Fairmont's public wedding and meeting information uses different room contexts, so a generic “ballroom capacity” copied from a directory is insufficient for a contract or a floor plan.

Hilton Baku: room-block depth in the centre

Hilton Baku publishes a substantial events inventory around the Sevda Ballroom and multiple meeting rooms. Its central position is useful for a wedding that needs guestrooms, a ballroom and smaller hospitality rooms without moving guests between properties.

The decision point is the complete programme rather than the main evening alone. Ask which functions share the ballroom, how long each room turn takes and whether the required guestrooms are held under the same option dates as the event space.

JW Marriott Absheron: larger layouts and multiple rooms

JW Marriott Absheron Baku publishes one of the city's larger hotel event inventories. It belongs on a shortlist when the guest count, production build or number of simultaneous rooms pushes beyond an intimate ballroom programme.

For a wedding, the useful number is the seated plan after production. Request the stage, dance floor, tables, service aisles, control position and emergency routes on one drawing. If the programme spans several days, allocate the secondary rooms before they are offered to another event.

The Ritz-Carlton, Baku: a contemporary multi-room option

The Ritz-Carlton, Baku publishes 2,202 square metres of total event space and a 280-person largest-space figure. The same official page lists a separate ballroom entrance and terrace access. It suits programmes that prefer contemporary interiors and want arrivals, ballroom access and smaller functions within one hotel.

Confirm which terrace or pre-function area belongs exclusively to the wedding, the permitted production hours and the seated layout for the contracted room. Brand photography is useful inspiration; the signed room schedule is the operating document.

Nikki Beach Baku: a Caspian waterfront event setting

Nikki Beach Baku presents weddings, engagement parties, rehearsal dinners and bridal showers as private-event formats at its waterfront venue. Its current page asks buyers to submit 2027 inquiries and collects the event date, guest number and start and end times. It belongs on the shortlist when a waterfront experience is central to the brief rather than an incidental hotel terrace.

The public page does not establish a wedding seating capacity or an indoor weather backup. Ask for the named space, exclusive-use boundary, floor plan, wind and rain plan, music cutoff, transfer timing from central Baku and every cost tied to privatization before comparing it with a hotel proposal.

Hotel ballroom, Old City courtyard or Caspian outdoor venue?

Choose a hotel ballroom when guest accommodation, catering, weather protection and late-night operations need one contract. Choose an Old City setting for a ceremony or welcome moment where the heritage environment matters more than a large production footprint. Choose a Caspian outdoor setting only with a covered or indoor fallback that can hold the same guest count and core programme.

These formats can be combined. A common planning mistake is to price the attractive outdoor option first and treat the backup as optional. In Baku, wind and rain change the usable setup, so both spaces and the decision deadline for moving indoors should appear in the proposal.

What to send for a comparable venue proposal

Send the same brief to every venue:

1. Preferred date plus one or two alternatives.
2. Seated guest count and expected room block.
3. Number of functions and the hours for each.
4. Ceremony, stage, dance floor, band or DJ, screens and production-control needs.
