Pandit, Mandap, Jain Food and Baraat in Baku: Wedding Logistics Guide

An Indian wedding in Baku needs more than a ballroom booking. The ceremony, food and guest movements each involve a venue rule or named supplier. Birtour can coordinate these requirements in a local proposal with your appointed planner or family, but no supplier, permission or kitchen arrangement is confirmed by this guide alone. Officiant and ritual brief

State whether the family will bring its own pandit or wants a candidate sourced. Give the ceremony languages, ritual sequence, materials, fire or flame requirements and expected duration. Then assign who contracts and pays the officiant, who checks travel documents, and who books flights and accommodation. A local venue's general wedding page does not confirm that a Hindu ceremony or open flame is approved.

Vegetarian, Jain, halal and allergy standards

Send the proposed venue a guest-level dietary matrix, not only the words “vegetarian” or “Jain.” Specify prohibited ingredients, separate utensils and preparation, allergen controls, tasting and service labels. If an outside Indian caterer or satellite kitchen is needed, get the hotel's policy, access, supervision, hygiene and insurance terms in writing. Ask who signs the final menu and who handles a service-day exception. Azerbaijan's published halal-tourism standard is a framework; it does not certify any shortlisted hotel's kitchen for this event.

Mandap and production

Give the supplier the actual room dimensions and seated layout. Ask for a structural drawing, stage and sightlines, electrical load, floral and fabric specification, load-in and teardown windows, and the venue's fire and open-flame response. An outdoor mandap also needs a contracted covered alternative. Until the selected venue and supplier accept the plan, a moodboard is only a design reference.

Baraat, sound and public space

Mark the proposed starting point, route, finish, expected crowd, dhol or amplified sound, timing, any animal or vehicle and traffic interaction. A route on hotel grounds should be approved by the hotel; a public-space route may require additional authority permission. Ask the local operator to identify the relevant applicant and deadline for the exact route instead of promising the Boulevard or a park in a generic package.

Photography, drones and bar service

Photography access, commercial use of a public location and drone operation are different permissions. The named filming supplier should check current drone import, registration and flight rules before aerial work is quoted as confirmed. Ask the venue separately about bar licensing, corkage, service hours and alcohol-free service. Neither a public travel article nor a hotel's general wedding page settles the event contract.

Put responsibilities into the proposal

For each requirement, list the contracting party, proposed supplier, confirmation status, approval authority, decision deadline, cost basis and fallback.
