What scales differently than a gala incentive

Three line-items move in non-obvious directions when you scale from off-site to conference:

  • AV package nearly doubles because parallel breakouts each need their own projector + mic setup. We sometimes share AV operators across 2 adjacent breakouts to keep the line under control.
  • F&B per-person flattens. Conference catering is more menu-standardised than gala catering, and the per-pax cost actually drops slightly.
  • Production cost compresses. A conference doesn't need the same lighting and entertainment spine as a gala. The savings here typically go into translation or extra breakout AV.
